Booking & calendars

Voxilo books appointments directly into your connected calendar — Google Calendar, Cal.com, or Jobber. It only offers slots that are actually open and respects your buffer times, crew assignments, and drive-time rules.

When a booking is made, the caller gets a confirmation by SMS or email (their choice), you get the appointment on your calendar with the full call notes attached, and the briefing in your inbox reflects "booked" status with the confirmed time. If the caller asks for a time you can't accommodate, Voxilo offers the closest available alternatives instead of pushing past your limits.

How availability works

Voxilo reads real-time availability from your connected calendar before offering any time slot. It never offers a slot that's already taken. If a slot gets booked by another caller between the time Voxilo reads availability and the caller confirms, Voxilo automatically offers the next open slot.

You set the booking rules in Settings: how far out you'll book, minimum lead time (e.g., nothing booked with less than 2 hours notice), and how long each job type takes. Voxilo uses job duration from your industry template by default — adjust per-service in Settings.

HubSpot, Housecall Pro, and ServiceTitan booking support is on the roadmap.

Booking confirmation

After a booking is confirmed, the caller receives a summary: business name, date, time, and what to expect. You receive an Owner Briefing with the same info plus the call recording, transcript, and lead quality score.
