Frequently asked questions

About the product

Does it sound like a real person?

Yes. Voxilo runs on xAI Grok Voice Think Fast, a flagship realtime voice model. Conversations are natural and unscripted — callers ask off-topic questions, the agent handles them. We don't use the old robotic "press 1 for X" tree. The first thing the agent does on every call is disclose that it's AI, because the law requires it — but most callers say it didn't feel like AI.

What happens if the caller asks something Voxilo doesn't know?

Voxilo has three escape hatches. First, it can transfer the call to you live (a "warm transfer") if you're available and if it's an emergency or a high-value lead — your choice on the rules. Second, it can take down a callback request and add it to the queue so your team follows up. Third, on edge questions it doesn't know the answer to, it tells the caller honestly ("I'm not sure — let me have someone get back to you on that") and notes it in the briefing.

It does not make up answers, quote prices it isn't sure of, or commit you to anything you didn't approve.

Can it actually book the appointment?

Yes, into the calendar you connect — Google Calendar, Cal.com, or Jobber today. Voxilo only offers slots that are actually open and respects buffer times and crew availability. After booking, the customer gets a confirmation; you get the appointment on your calendar with the call notes attached.

What languages does it speak?

English on every plan. Spanish is included on Pro and available as a $25/mo add-on on Starter and Growth. Voxilo detects the caller's language in the first three seconds and responds in the same language — no menu prompt. More languages are on the roadmap based on customer demand.

Will my customers know it's AI?

Yes. Voxilo legally discloses it's AI within the first 5 seconds of every call. This isn't optional — it's required by AI disclosure laws in California, Texas, Utah, and several other states, and it's the right thing to do everywhere else. We use natural framing ("Hi, I'm the AI assistant for [your business]") that customers consistently rate as fine to good in our research.

What if I want to listen to a call?

Every call is recorded (where the caller consented — see compliance below) and shows up in your dashboard with a player and a full transcript. You can listen anytime; you can also flag a call for our team to review if something went wrong.

About compliance

Is this TCPA-compliant?

Yes. Voxilo handles state-by-state TCPA rules automatically — consent capture, time-of-day restrictions, opt-out handling, do-not-call list checks. Every consent decision is logged with courtroom-grade evidence (timestamps, exact wording, caller response). You don't configure compliance — it ships compliant by default. If your business has unusual needs (regulated trades, specific state add-ons), tell us and we'll work with your counsel.

Is the call recording legal?

Recording rules vary by state. In one-party-consent states, your consent is sufficient. In two-party-consent states (California, Florida, and others), Voxilo discloses the recording at the start of the call and only records after the caller is informed. If the caller objects, Voxilo continues the call without recording and flags it in the briefing.

Where are recordings and transcripts stored?

In encrypted storage with row-level isolation, accessible only to your account. Recordings are retained 12 months by default; you can extend or shorten that in Settings within legal limits (TCPA consent evidence has its own 5-year minimum retention on a separate isolated archive). Data never leaves the United States.

How is my customer data secured?

We use Sentry for application monitoring (errors only, no PII), encrypt data at rest and in transit, and isolate each customer's data so it's invisible to other Voxilo customers. Authentication supports two-factor codes via Twilio Verify and OAuth sign-in with Google or Apple — we don't store your password, those providers do. We don't sell, resell, or share your customer data with anyone. Ever.

About setup & operations

How long does setup take?

About 15 minutes from sign-up to your first test call, walked through in the Quick start guide. Most owners are forwarding their real business line within an hour of signing up.

Do I have to forward my main line?

No. You have three options: (1) forward your main line to Voxilo on every call, (2) forward only when busy or no-answer (most common), (3) use Voxilo's own number as a dedicated line you advertise separately. We recommend option 2 for most owners — your team still handles live calls during the day, Voxilo catches the rest.

What if Voxilo goes down?

If our voice service is unreachable, your forwarded calls fail over to whatever you set as your fallback — typically your voicemail or your cell phone. You don't lose calls; they just route the old way. Our uptime SLA is 99.9% and our actual measured uptime is higher.

Can I disable Voxilo without canceling?

Yes — in Settings, the "Pause Voxilo" toggle stops it from answering calls. Your forwarded line falls back to whatever it did before. Useful for short trips, holidays, or while you're tuning settings.

What's the minimum commitment?

Month-to-month. The first 30 days are fully refundable.

About changing your mind

What happens to my data if I cancel?

You have 30 days of read-only dashboard access to download transcripts, recordings, and lead data. After that, customer-facing data is purged. TCPA consent records are retained for 5+ years per federal law in a separate archive — that we can't delete on request, but it's isolated and used only for legal evidence if a complaint is filed.

Can I export my data?

Yes. Download as CSV (leads, calls, transcripts) or zip (recordings) any time from the dashboard.

What if I want to come back?

Reactivate any time within 30 days of cancellation with all data intact. After 30 days you'd start fresh.
